Make unpaid balances part of your weekly routine
Finished work and collected money deserve separate attention. ServicePro IQ’s A/R page shows outstanding balances, days outstanding and outstanding invoices. Use it to organize a calm, specific follow-up routine instead of waiting until an unpaid balance becomes an urgent problem.

A busy schedule does not answer the cash question
A garage door company can finish a full week of work while payments remain unresolved. An electrical contractor may need to clarify an invoice before a customer can process it. Revenue tells you about the work; unpaid balances tell you where another step may still be needed.
Treat collection follow-up as customer service with clear ownership. Confirm the invoice, find out whether there is a question and agree on the next step. Starting with an accusation makes it harder to resolve a simple administrative issue or a genuine disagreement about scope.
Keep daily revenue reporting alongside your receivables review, but do not use a healthy revenue total as evidence that all the money has arrived. These are different views of the business.
Read the A/R page in the right order
The A/R page shows total outstanding balance, days outstanding over the last 365 days, the outstanding balance over time and a list of outstanding invoices. Start with the overall balance, then inspect individual invoices to decide what needs attention.
ServicePro IQ calculates days outstanding as outstanding balance divided by revenue, multiplied by 365, over the last 365 days. This is an overall measure. It is not the age of each invoice and does not tell you how long a particular customer has been late.
For a made-up example, a $10,000 outstanding balance and $365,000 in revenue produce 10 days outstanding. The calculation helps describe the relationship between the balance and revenue. It does not establish payment terms or prove that a particular balance is overdue.
Give every follow-up a clear owner
Choose a review time and work through the outstanding invoices. Check the original invoice and the agreed payment terms in your records before contacting a customer. If a payment was just recorded, remember that job and revenue figures refresh hourly at 20 minutes past the hour.
- Confirm the customer, invoice and amount.
- Check for a payment, dispute or unanswered question.
- Assign the next call or message to one person.
- Record the agreed follow-up in your normal working process.
- Revisit unresolved items at the next review.
Say a cleaning customer has a made-up $500 balance. If their office needs a corrected purchase reference, the next action is to resolve that issue. Repeating a general request to pay would miss the actual obstacle. The report identifies the balance; the conversation explains the reason.
Use the owner morning reports routine to decide which issues need attention today and which can stay in the scheduled collections review.
Use balance trends without losing invoice detail
This routine fits the owner, office manager or staff member responsible for payment follow-up. A rising outstanding balance deserves a look, but its meaning depends on the work completed, payment terms and unresolved issues. Do not assume that a higher balance always means customers are paying more slowly.
Compare periods thoughtfully. If you completed a large roofing project near the end of the period, the balance may tell a different story than several small invoices left unresolved for weeks. Use your invoice records to understand those differences before changing payment practices.
ServicePro IQ reports can be filtered by date, tag, tag combination, lead source and employee. Filters stay in place between pages. Check that context when you move to the Business Snapshot, where collected revenue offers another view of scheduled work and outstanding money.
Use Housecall Pro as the source
ServicePro IQ connects directly to Housecall Pro and requires its MAX plan, because that plan provides API keys. An admin creates the key in the Housecall Pro App Store by searching for API and choosing Generate API key. We send a one-time link where you paste it. The link works for seven days, and only the newest link for your business works.
The key is checked when you paste it and stored encrypted. ServicePro IQ reads your Housecall Pro data without changing your account. Your contact tells you when your reports are ready. ServicePro IQ runs in a browser. Owners can give staff report access by Google email address so the people handling follow-up can review the figures.
