Give each business number a clear meaning

A useful KPI review connects each number to a question you can answer. ServicePro IQ provides Daily Huddle and business reports built from Housecall Pro data. Begin with Business Snapshot, then use Revenue, Profit, A/R and Pipeline to investigate the part of the business that needs attention.

Choose the question before adding another metric

An owner can have several totals in front of them and still lack a clear next step. Revenue may be up while outstanding invoices grow. New customers may increase while the completed-job results deserve closer attention. Those measures describe different parts of the operation.

For a home-service business, start with a small set of questions: what work is scheduled, what revenue is being recorded, what remains outstanding, what completed jobs left behind and which past customers may need appropriate follow-up. Give each question a responsible person and a review cadence.

The service business KPI guide can help you choose a working set. Avoid adding a measure merely because it is available. A metric is useful when its definition and the decision it supports are understood.

Use Business Snapshot as the starting view

Business Snapshot shows year-to-date revenue, new customers, collected revenue and the number of unscheduled customers. It charts revenue, revenue by job type, estimates given, new customers and cancelled jobs for the selected period, against goals where set. Each chart includes the previous period alongside the current one.

Move to the underlying report that fits the question. Revenue includes the job list and revenue by lead source. Profit lists completed-job cost, revenue, profit and profit percentage. A/R shows outstanding balances and invoices. Pipeline groups customers by months since their last job.

Every report supports date, tag, tag-combination, lead-source and employee filters. Filters remain in place between pages. This helps maintain scope, but it also means a narrow filter from an earlier investigation can still affect the next view you open.

Read connected numbers without blending their definitions

Start the morning by checking the selected period and filters. Look for a movement that needs explanation, then inspect the relevant detail. A chart can show a change; a job or invoice review helps establish what actually happened.

For an illustrative example, suppose scheduled jobs total $10,000 and $2,000 remains outstanding on them. Under ServicePro IQ’s collected-revenue definition, that leaves $8,000 collected. This says nothing by itself about job costs or company net profit. Those require a different review.

  • Use scheduled revenue to discuss the near-term plan.
  • Use completed-job results to investigate job economics.
  • Use outstanding invoices to organize payment follow-up.
  • Use customer recency to select possible return-customer conversations.

Read the Business Snapshot report overview for a closer explanation of its summary measures. Keep a note of the definition whenever a number will be shared outside the regular reporting team.

Share a reporting routine with the right staff

This approach fits owners who need a business overview and managers who need to investigate specific work. An office manager may own invoice follow-up, while an operations lead reviews completed jobs. Sharing access does not remove the need to decide who will act on a finding.

Owners can add staff by Google email address and choose whether each person can add and remove users. Only people with that user-management permission can change goals; others with access can view them. One subscription covers everyone you add, with unlimited users and reports.

For a short morning sequence, use owner morning reports. Save questions about repeated patterns for a longer review. The most useful dashboard habit is a consistent path from an observed change to a named next action.

Understand access, refreshes and the Housecall Pro connection

ServicePro IQ connects directly to Housecall Pro and requires its MAX plan, because that plan provides API keys. An admin creates the key in the Housecall Pro App Store by searching for API and choosing Generate API key. We send a one-time link where you paste it. The link works for seven days, and only the newest link for your business works.

The key is checked when you paste it and stored encrypted. ServicePro IQ reads your Housecall Pro data without changing your account. Your contact tells you when your reports are ready. Job and revenue figures refresh hourly at 20 minutes past the hour. Customer lists behind Pipeline and Unscheduled Customers refresh daily; marketing spend, where connected, also refreshes daily.

Frequently asked questions

Is every KPI a cash measure?

No. Scheduled revenue, collected revenue, completed-job profit and outstanding balances describe different things. Collected revenue is scheduled-job revenue less what remains outstanding on those jobs; it should not be substituted for a profit calculation.

Can I use the reports on a phone?

Yes. ServicePro IQ runs in a web browser. On small screens, jobs appear as compact cards and filters fold into a one-line summary. There is nothing to install.

Why might two report views have different scope?

Check the date range and selected filters first. Reports open on the current Sunday-to-Saturday week unless changed, and filters stay in place between pages. Also check the meaning of the metric in each report.
