Find past customers worth a thoughtful follow-up

In ServicePro IQ, Pipeline is a view of past customers grouped by time since their last job. It helps you identify people who may be worth winning back. Start with their service history and a relevant reason to reconnect, then handle the follow-up through your normal customer process.

Past customers need a reason to hear from you

A landscaping customer who booked a cleanup last year may have a different next need from a homeowner who recently replaced a garage door. Time since the last job is useful context, but it is not enough to decide that a customer needs another service.

Begin with the relationship and the work performed. Ask whether there is a sensible next conversation: seasonal preparation, a maintenance need or a customer question that was left open. Avoid treating every long gap as a missed appointment or a sign that the customer is unhappy.

The term sales pipeline can describe several kinds of sales process. The report described here is specifically a customer-recency view for follow-up. For scheduled work already on the books, use booked jobs by lead source instead.

Review customers by months since their last job

The Pipeline page groups customers by months since their last job and lists them with the longest gap first. Pipeline and Business Snapshot use the groups 0–3, 4–6, 6–12, 12–18 and 19–36 months. This provides a starting order for investigating possible return-customer conversations.

The grouping describes elapsed time. It does not establish an opportunity stage, a close probability or a forecasted sale. A customer near the top of the list may have no current need, while another with a shorter gap may have a relevant reason for follow-up.

Every report supports date, tag, tag-combination, lead-source and employee filters, which stay selected between pages. The customer list behind Pipeline refreshes daily. Keep that timing in mind if you have just updated the source data and are expecting the customer view to reflect it.

Choose a small, relevant follow-up list

Open Pipeline and review the longest-gap customers in the context of their earlier work. Check the customer history in your normal records before reaching out. Select a small group whose previous service gives you a reasonable basis for a useful conversation.

For a hypothetical example, a plumbing customer may have booked a one-time repair many months ago, while a landscaping customer previously asked about seasonal cleanup. The same elapsed time does not imply the same message. Refer to the actual work and ask about the customer’s current needs.

  1. Review the recency group and customer history.
  2. Confirm a relevant reason to make contact.
  3. Assign the follow-up to a named person.
  4. Use your normal customer communication process.
  5. Record the response and any agreed next step there.

If the conversation becomes scheduled work, use the Daily Huddle to discuss the upcoming job. Keep the reporting view and the customer communication process distinct so responsibilities are clear.

Use recency to support relationships, not forecast certainty

This approach fits owners and office teams who want a structured way to revisit past-customer relationships. It can be useful for trades where a previous service gives context for a later conversation, provided the next service is appropriate to the customer’s actual situation.

Do not assign a sales value to a customer merely because the last job was a long time ago. The list provides a reason to investigate, not proof of demand. Confirm need, fit and capacity before treating a conversation as future work, and respect a customer’s response when no service is wanted.

Use Business Snapshot for the broader business and customer picture. The Pipeline review has a narrower job: help your team decide which past relationships deserve a thoughtful look and who will handle the next appropriate step.

Connect Housecall Pro and review the right data

ServicePro IQ connects directly to Housecall Pro and requires its MAX plan, because that plan provides API keys. An admin creates the key in the Housecall Pro App Store by searching for API and choosing Generate API key. We send a one-time link where you paste it. The link works for seven days, and only the newest link for your business works.

The key is checked when you paste it and stored encrypted. ServicePro IQ reads your Housecall Pro data without changing your account. Your contact tells you when your reports are ready. Pipeline’s customer list refreshes once a day. Job and revenue figures elsewhere in the reports refresh hourly at 20 minutes past the hour.

Frequently asked questions

Is this a sales-stage forecasting report?

The documented Pipeline report groups customers by months since their last job and lists the longest gap first. This page describes that customer-recency function, not deal stages, sales probabilities or forecasted revenue.

Does a long gap mean the customer is overdue?

No. The gap describes time since the last job. Whether another visit is appropriate depends on the service performed, the customer’s needs and any relevant agreement in your records.

Does Pipeline send follow-up messages?

The described capability is a customer list grouped by recency. Use your normal customer communication process to contact someone, record the response and arrange any agreed next step.

How often is the customer list updated?

The customer list behind Pipeline and Unscheduled Customers refreshes once a day. A recent source-data change may need the next daily refresh before it appears in that view.
