How ServicePro IQ syncs with Housecall Pro
ServicePro IQ syncs directly with Housecall Pro using a read-only connection. Job and revenue figures refresh once an hour, at 20 minutes past the hour. Customer lists used by Pipeline and Unscheduled Customers refresh daily. Knowing those differences helps you interpret the reports without expecting every change to appear at once.

What refreshes hourly and what refreshes daily
Job and revenue figures refresh at 20 minutes past each hour. The customer list behind Unscheduled Customers and Pipeline refreshes once a day. Marketing spend, where connected, also refreshes once a day. These are separate cadences; a refreshed revenue figure does not establish that a customer list or spend figure has just refreshed.
For an illustrative example, suppose an office changes a plumbing job shortly after the hourly refresh. Do not expect that change to be visible immediately in the job and revenue reporting. Use the original Housecall Pro job when an immediate operational decision depends on the new detail. Every job in the Daily Huddle and job lists links back to Housecall Pro.
The Pipeline report uses months since the customer’s last job to organize follow-up. Its daily customer-list refresh matters when you are reviewing someone whose recent work has changed. Treat the report as a scheduled reporting view, not a continuous feed of every account change.
How the initial connection works
ServicePro IQ sends a one-time link where you paste a Housecall Pro API key. Generate the key by signing in to Housecall Pro as an admin, opening the App Store, searching for API and choosing Generate API key. ServicePro IQ checks the key with Housecall Pro immediately and reports a rejection straight away.
The supplied link works for seven days, and only the newest link for a business works. After connection, your ServicePro IQ contact lets you know when reports are ready. Immediate key validation and report readiness are different events; do not use the hourly refresh schedule as an onboarding-time promise.
The key is stored encrypted. Nobody, including the ServicePro IQ team, sees it again after you paste it. Use the API key connection guide for the entry steps, and check that you have the newest supplied link before troubleshooting an old one.
Connection requirements and data boundaries
Housecall Pro MAX is required because API keys are available on that plan. ServicePro IQ reads the data and does not change anything in your Housecall Pro account. Each business’s report data is kept in a separate database. These are specific connection and storage facts, not a statement about unlisted certifications or recovery guarantees.
ServicePro IQ uses Google sign-in and runs in a browser with nothing to install. Owners add staff by Google email address and choose who may manage users. Only users with that permission can change goals; other people with report access can view them.
The subscription covers unlimited users and reports at one flat price: $449 per month or $4,490 per year prepaid by ACH. Card payment adds 3.5%. The Housecall Pro overview connects these requirements to the report pages. A free 7-day trial lets you review your own reporting workflow with no credit card required.
Read a changed total before assuming a sync problem
First, check which report you are reading and what its number counts. The Daily Huddle uses scheduled jobs. Profit lists completed jobs. Collected revenue is scheduled-job revenue minus outstanding amounts. Different scopes can explain different figures even when the connection is working as described.
Next, check the date and filters. Reports open on the current Sunday-to-Saturday week unless you choose another range. Filters persist between pages, including tag, tag combination, lead source and employee. An employee filter left in place from an earlier investigation changes the question you are asking of the next report.
Finally, compare the source record with the appropriate refresh cadence. Note the job, the period and the difference you are investigating before asking for help. The reports explained guide provides definitions for the main views. For a morning meeting, use the report to start the discussion and the linked Housecall Pro job to resolve a detail that has just changed. For example, a new payment and a change to the customer list should not be tested as though they belong to the same refresh cycle. Write down which figure you expected to change and why. That makes an investigation more precise than reporting that the whole dashboard looks different from the source account.
Frequently asked questions
Is the sync real time?
Job and revenue figures refresh hourly at 20 minutes past the hour. The Pipeline and Unscheduled Customers customer list refreshes daily, as does marketing spend where connected. Do not expect every change immediately.
Does ServicePro IQ write changes back to Housecall Pro?
No. ServicePro IQ reads Housecall Pro data and does not change anything in the account. Open the original job when you need its source detail.
Why might two reports show different totals?
Check what each report counts, the date range, persistent filters and the relevant refresh timing. Scheduled revenue, collected revenue and completed-job profit describe different things.
