Review unpaid Housecall Pro invoices and A/R

Finished work does not settle the cash question. ServicePro IQ’s A/R page shows outstanding balances, outstanding invoices and days outstanding using your Housecall Pro data. Give the office a regular review routine so an unpaid invoice becomes a clear follow-up, not a vague worry at the end of the month.

The work is done, but the balance remains

A landscaping crew can finish a project while the office is still sorting out the invoice conversation. Perhaps the customer needs clarification, or someone needs to check the payment status. The next action depends on the circumstances. Start with the record rather than assuming every outstanding amount has the same explanation.

A revenue review and a collections review answer different questions. Scheduled work can contribute to revenue while money is still outstanding. If you discuss only the revenue total, the team may leave without deciding who will follow up on an unpaid balance.

Set aside a regular time to review open amounts. Give one person responsibility for checking the facts and agreeing the next contact. Keep the tone factual and respectful; collection work is still customer service.

What the A/R page actually shows

The A/R page in ServicePro IQ shows total outstanding balance, days outstanding over the last 365 days, outstanding balance over time and a list of outstanding invoices. These views let you look at both the current amount and its broader direction.

Days outstanding is calculated as outstanding balance divided by revenue, multiplied by 365, using the last 365 days. It is an aggregate measure. It is not a statement that every invoice on the list has been unpaid for that many days.

For a made-up example, an outstanding balance of $10,000 against $365,000 of revenue gives 10 days outstanding under that formula. The example is not a target or a benchmark. To understand an individual invoice, review its own context. For broader reporting definitions, read Housecall Pro reports explained.

Give each balance a next step

Start the morning with the outstanding invoice list and identify the records that need attention. Confirm the amount and the customer context before contacting anyone. Then choose a specific next step: clarify the invoice, check a payment, or arrange an appropriate follow-up with the customer.

Keep a simple working note in your established process with the person responsible and the next review date. This is a recommended office routine, not a promise that ServicePro IQ sends reminders or manages collections tasks. The report gives you information to act on.

Next, look at outstanding balance over time. If it has risen, ask whether the business completed more work, whether a large invoice remains open, or whether follow-up has stalled. A change in the total is a prompt to investigate. It does not identify the cause by itself.

Connect collections with the wider business review

This report fits owners, office managers and anyone responsible for following up unpaid work. A roofing company with large project invoices may discuss different records from a cleaning business with many smaller visits. Both need to distinguish the amount owed from the reason it remains open.

Use the Daily Huddle when a scheduled job’s outstanding balance belongs in the morning conversation. Use A/R for the broader outstanding-invoice review. ServicePro IQ defines collected revenue as revenue from scheduled jobs minus what is still outstanding on those jobs.

Do not substitute collections for job economics. A fully paid job can still have weak profit on its recorded costs. Pair the cash discussion with the profit per job report when you need both views, keeping the questions and follow-up owners separate.

Connect and review with consistent filters

ServicePro IQ connects directly to Housecall Pro and requires its MAX plan, because that plan provides API keys. During setup, you receive a one-time link where you paste your Housecall Pro API key. ServicePro IQ checks it immediately. Your contact lets you know when your reports are ready. The connection reads your data without changing your Housecall Pro account.

Reports open on the current Sunday-to-Saturday week unless you choose another range. Filters persist across report pages, so check them before interpreting a total. You sign in with a Google account and use ServicePro IQ in a web browser, with nothing to install. One subscription covers unlimited users and unlimited reports. The price is $449 per month or $4,490 per year prepaid by ACH; paying by card adds 3.5%. Review pricing and the Housecall Pro integration overview before you start your free 7-day trial. Frequently asked questions

Does days outstanding show the age of each invoice?

No. It is outstanding balance divided by revenue, multiplied by 365, over the last 365 days. Review the individual invoice context separately.

Does ServicePro IQ send collection reminders?

The A/R capability described here is reporting: balances, days outstanding, trends and outstanding invoices. Plan customer contact through your existing office process.

Can revenue and collected revenue differ?

Yes. ServicePro IQ calculates collected revenue as revenue from scheduled jobs minus the amounts still outstanding on those jobs. An unpaid balance can explain a difference.
